You Need A PA – Here’s Why

A bold statement, I know. But let me explain.


Let’s Take Last Monday as an Example

The previous week had been fantastic for business.
Enquiries were coming in, existing customers were planning ahead, and everyone was back in the swing of things.

Friday came around fast. Before you knew it, it was 6pm and time to head off for a weekend in Wales for a family wedding.

The packing was done (well… mostly), but:

  • The hotel wasn’t confirmed

  • The suit hire wasn’t arranged

  • The car needed fuel

  • Dinner plans didn’t exist

Stressful? Absolutely.

Everything was resolved with some last-minute organising and a slightly delayed arrival at the church. The weekend itself was great – family, celebrations, and a late Sunday night return home.

Then came Monday…


Monday Morning: The To-Do List

First things first, create a to-do list:

  • Vet appointment for Archie

  • Meet Dave re: website enhancements (+ lunch) 10–1pm

  • Get time booked with Rachel this week – Thursday?

  • Send quotes – Forum Ltd / Harry D / Exom / Mark / Sarah H

  • Chase flyer prints

  • Organise team meeting for tomorrow (minutes, actions, lunch?)

  • Dinner out this evening

  • Send invoices – Sam / Grover PH

  • Emails

  • Airport parking

Before the list was even finished, two urgent emails and phone calls came in. It was already 9:15am and time to head to the meeting with Dave.

No prep done. No clarity on the meeting location. Another call needed.


The Day Unfolds…

10:00–1:00
Meeting and lunch with Dave. Plenty of actions around website content and enhancements.

1:30pm
Back to the office. Review and respond to urgent emails.

2:00pm
Create and send quotes. Some can’t be sent due to missing information, so more emails go out.

2:50pm
Call venues for tomorrow’s team meeting. Lunch booked (more expensive than planned). Review previous meeting actions, several still incomplete.

4:30pm
Book restaurant for the evening. Respond to urgent emails. Finally book the vet appointment – for Thursday.

5:10pm
Type up minutes and actions for tomorrow’s meeting.

6:00pm
Head out to dinner.

9:45pm
Finish and send meeting minutes. Respond to non-urgent emails.


End of the Day… Still Not Done

By the end of the day, the to-do list still looks like this:

  • Get time booked with Rachel

  • Send quotes – Forum Ltd / Harry D / Exom / Mark / Sarah H

  • Chase flyer prints

  • Send invoices – Sam / Grover PH

  • Emails

  • Airport parking

Plus several new tasks added from the day’s work.

Sound familiar?


Busy Doesn’t Always Mean Productive

Long days.
Endless lists.
Nowhere near as productive as you hoped.
